This Privacy Policy explains how WaitStop Software Company LLC, a Delaware limited liability company ("WaitStop," "we," "us," or "our"), collects, uses, discloses, retains, and protects personal information when you use the WaitStop mobile application and any related services that link to this Privacy Policy (collectively, the "Services"). Where applicable law requires a consumer health data privacy policy, this Privacy Policy is intended to serve that function as well.
WaitStop is an adult-only, AI-enabled voice-journaling service for personal self-reflection. The Services are currently intended for users in the United States. Journal content may include highly personal or sensitive information, including information concerning health, emotional state, eating, body image, relationships, or other personal matters. Please review this Privacy Policy carefully before using the Services.
WaitStop does not store your voice recordings. Audio is transmitted for real-time transcription, and WaitStop stores the resulting text rather than the audio.
Journal entries, check-ins, notes, AI-generated reflections, and automated screening information may contain or reveal sensitive information about you.
Automated screening is performed by artificial intelligence. No person monitors your entries as part of that screening process, and WaitStop does not contact emergency services or another person on your behalf.
WaitStop does not sell personal information or consumer health data and does not use journal content for third-party advertising.
The mobile application does not use third-party advertising, analytics, attribution, or cross-app tracking technologies.
WaitStop uses a limited number of service providers to operate the Services. Their roles are described below.
You may delete individual entries or your account, and you may exercise additional privacy rights as described in Section 9.
Account and consent information
When you create an account, WaitStop collects your email address and authentication information needed to secure the account. WaitStop does not request your name, telephone number, mailing address, or date of birth as account-registration fields. You also provide an 18-or-older attestation and create records showing your acceptance or acknowledgment of applicable legal terms, including the versions accepted and the date and time of acceptance.
Journal entries and other content you provide
WaitStop stores the text transcript of journal entries and any edits you make before submission. The Services may also store your follow-up responses, optional check-ins, ratings, notes associated with entries, and notes concerning a week or month. Because these are free-form features, you may choose to include information that is sensitive or that identifies you or another person.
Voice audio and transcription
When you record an entry, your voice audio is transmitted in real time to WaitStop's transcription provider for conversion to text. WaitStop does not store the audio recording on its servers or as a persistent file in the Application. WaitStop does not separately transmit your name, email address, WaitStop user ID, account ID, or journal-entry identifier with the audio. Because voice recordings are free-form, however, the audio and resulting transcript may contain identifying information that you choose to include in your recording. Under the configuration WaitStop uses, the transcription provider has stated that the audio and resulting text are processed transiently, are not written to persistent storage, and are not used for model training. The provider may retain limited request metadata that does not contain the audio or transcript content.
AI-generated content and conversations
WaitStop stores AI-generated reflections, questions, conversation responses, and periodic recaps so that they remain available in your account. These items are generated from journal content and may therefore reflect or repeat information contained in your entries.
Automated screening and derived information
WaitStop automatically screens entries and follow-up responses to determine what type of response the Application should display. The screening may create and store automated classifications, confidence values, and related metadata or inferences derived from journal content. These records may concern crisis, acute distress, eating-related concerns, or other health-adjacent subject matter. They are not a medical diagnosis or professional assessment and are not ordinarily displayed in the Application.
No person monitors your entries as part of the automated screening process. WaitStop does not take action on a screening result beyond changing or limiting what the Application displays. Access to stored information is restricted to authorized personnel and service providers with a legitimate need for access to operate, secure, troubleshoot, or administer the Services or respond to a request from you. Access is limited to the information reasonably necessary for those purposes.
Subscription information
Subscriptions are processed by Apple and administered through WaitStop's subscription provider. WaitStop receives information about subscription status, such as the subscription product, whether a trial or paid subscription is active, and the applicable expiration status. WaitStop does not receive or store your payment card number.
Technical and diagnostic information
WaitStop maintains limited operational and diagnostic information needed to operate, secure, and troubleshoot the Services. Operational logs may contain account or entry identifiers and screening-related metadata, but are not intended to contain journal text. Under the current hosting plan, those operational logs are retained for one day.
WaitStop obtains personal information from the following sources:
Directly from you, when you create an account, record or edit journal content, provide a check-in or note, contact WaitStop, or make a privacy request.
Automatically through operation of the Services, such as subscription status, operational logs, and records showing how a requested feature was processed.
From automated processing of information you provide, including AI-generated content and automated screening classifications or inferences.
From Apple and RevenueCat in connection with subscription administration.
WaitStop does not obtain user profiles or journal information from data brokers, advertising networks, or social-media platforms.
WaitStop uses personal information only for purposes reasonably related to providing and operating the Services, including to:
create, authenticate, maintain, restore, and secure your account;
transcribe voice entries and store the resulting text;
generate reflections, questions, conversations, and recaps requested through the Services;
perform automated screening and display prewritten support information when applicable;
store and display your entries, check-ins, notes, generated content, and subscription status;
administer subscriptions and communicate with you about your account or the Services;
maintain security, prevent misuse, troubleshoot errors, and preserve the reliability and integrity of the Services;
maintain records of consent and legal acceptance; and
comply with applicable law, enforce legal rights, and respond to lawful requests or legal process.
WaitStop does not use journal content to serve advertising or to create advertising profiles about you.
WaitStop uses third-party service providers to support the operation and delivery of the Services. These providers receive personal information only as necessary to perform services on WaitStop’s behalf and are subject to applicable contractual, privacy, and security obligations.
(a) Transcription Services
WaitStop uses Deepgram to turn your voice recordings into text. When you record an entry, your audio is sent to Deepgram for transcription. WaitStop does not separately send your name, email address, account ID, user ID, or journal-entry ID with the recording. However, anything you say in the recording, including a name or other identifying information, will be included in the audio and transcript sent for processing.
WaitStop has configured its Deepgram service so that your audio and transcript are not used to improve Deepgram’s models. Deepgram has informed WaitStop that, under this configuration, the audio and transcript are processed temporarily for transcription and are not stored after that processing. Deepgram may keep limited technical information about the request.
(b) Artificial Intelligence Services
WaitStop uses Anthropic to help screen journal content and generate reflections, questions, conversations, and recaps. WaitStop sends Anthropic the text needed to provide these features. WaitStop does not separately send your name, email address, account ID, user ID, or journal-entry ID with that text. However, anything you include in your journal content, including a name or other identifying information, may be included in the text sent to Anthropic.
Anthropic does not use the journal text WaitStop sends to it, or the responses it generates for WaitStop, to train its AI models. Anthropic normally deletes this information within 30 days. It may keep some information longer when needed to prevent misuse, comply with legal requirements, or protect its services.
(c) Hosting, Database, and Authentication Services
WaitStop uses Supabase to provide database, authentication, hosting, and related infrastructure services. Account information, journal transcripts, generated content, and other information maintained through the Services are stored using this infrastructure.
WaitStop’s hosted data is maintained in the United States in the AWS us-east-1 region.
(d) Subscription Services
Subscriptions are processed and administered through Apple and RevenueCat. These providers receive information necessary to process purchases, verify subscription status, and administer subscriptions.
WaitStop does not provide journal-entry content to Apple or RevenueCat and does not receive your payment-card information from Apple.
(e) Email Services
WaitStop uses Resend to deliver account-related communications, including account-confirmation and password-reset messages. Resend receives the email address necessary to deliver the communication and the content of the applicable email. Journal entries and other journal content are not included in these communications.
(f) Legal Requirements and Protection of Rights
WaitStop may disclose personal information where reasonably necessary to comply with applicable law, regulation, legal process, or governmental request; to enforce applicable agreements; to investigate fraud, security incidents, or unlawful activity; or to protect the rights, property, or safety of WaitStop, its users, or others.
(g) Business Transactions
Personal information may be disclosed or transferred in connection with an actual or proposed merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar corporate transaction. Any recipient of personal information in such a transaction will be subject to applicable legal requirements concerning the handling of that information.
Depending on what you choose to record and the law that applies to you, some information processed by WaitStop may be considered consumer health data or other sensitive personal information. This may include journal transcripts or notes concerning physical or mental health, emotional state, eating or body image; check-ins; AI-generated content derived from those records; automated screening classifications and related inferences; and metadata that reveals or is reasonably capable of revealing health-related information.
WaitStop collects this information from you, from the operation of the Services, and from automated processing of information you provide. WaitStop uses it to provide the journaling features you request, generate content, operate automated screening, maintain your records, secure and troubleshoot the Services, and comply with applicable law.
WaitStop may disclose consumer health data to the service providers described in Section 5 only to the extent needed for their functions. In particular, voice audio is transmitted to the transcription provider; journal and response text is transmitted to the artificial intelligence provider; and stored content and screening-related records are maintained through the infrastructure provider. Journal content is not transmitted to Apple, RevenueCat, or Resend for subscription or email-delivery purposes.
WaitStop does not sell consumer health data. WaitStop does not use consumer health data for targeted or third-party advertising. WaitStop will not collect, use, or disclose additional categories of consumer health data, or use existing consumer health data for materially different purposes, without providing any notice and obtaining any consent required by applicable law.
The WaitStop mobile application does not contain third-party advertising, analytics, attribution, or cross-application tracking technologies. Journal entries, transcripts, reflections, and other in-app content are never shared with advertisers or used for advertising.
This website, waitstop.app, uses the Meta (Facebook) pixel to measure the effectiveness of our advertising and to understand how visitors find WaitStop. The pixel sets cookies and may share limited website activity, such as pages viewed, with Meta, which may use it to show WaitStop ads on Meta platforms. This applies only to the website and not to the mobile application. You can block these cookies through your browser settings and manage ad personalization in your Meta account settings.
WaitStop does not sell personal information or journal content and does not disclose journal content to advertisers. If these practices materially change, WaitStop will update this Privacy Policy and obtain consent where required by law before the new practice begins.
Retention while your account remains open
Account information and journal-related content are retained while your account remains open unless you delete particular content. There is no automatic expiration of journal entries solely because time has passed.
Subscription lapse
Expiration or cancellation of a subscription does not delete your account or existing journal content. After a subscription lapses, you may continue to read previously created entries, reflections, and recaps. Recording new entries and generating new reflections, questions, or recaps require an active subscription.
Deleting an individual entry
When you delete an individual entry, it is removed from your journal and remains recoverable for 30 days. After 30 days, the entry and the transcript, AI-generated content, screening information, conversation records associated with that entry are permanently deleted. Check-ins or period notes that are stored separately from the entry may remain until you delete them separately or delete your account.
Deleting your account
You may request account deletion through the Application. Under the standard deletion option, your account enters a 30-day recovery period. During that period, you may sign in and view your existing journal content, but you cannot record new entries or generate new reflections, questions, or recaps. You may cancel the deletion request during the recovery period by choosing Restore Account. After 30 days, your account and associated journal content are permanently deleted. You may also choose immediate permanent deletion, which does not include a recovery period. Once permanent deletion is completed, the account and deleted content cannot be restored.
Please note: if you submit a deletion request under an applicable privacy law, WaitStop will process that request in accordance with the requirements and time periods of that law. A statutory deletion request may result in permanent deletion rather than placement of the account in the optional recovery period described above.
Limited records that may remain
Certain limited records may remain after deletion where necessary or permitted by law. Operational logs maintained by the hosting provider are retained for one day. Apple and RevenueCat may retain subscription records under their own policies, and deleting your WaitStop account does not cancel an Apple subscription.
WaitStop also retains a limited record showing that you accepted applicable legal terms. This record may include a protected account identifier, the date and time of acceptance, the versions of the Terms of Service and Privacy Policy accepted, the consent-screen and application versions, the acknowledgments selected, and a fingerprint of the wording presented to you. WaitStop retains this record for four years after account deletion, unless longer retention is required for a specific pending dispute, legal hold, or other legal obligation. It does not contain journal entries, transcripts, AI-generated content, screening information, or other journal content.
Depending on where you live, you may have rights concerning your personal information, including rights to request access, correction, deletion, or a copy of information, and to withdraw or limit certain processing. You may use available in-app controls for deletion and may submit other privacy requests to privacy@waitstop.app. WaitStop may take reasonable steps to verify your identity before acting on a request.
Consumer Health Data Rights
Where applicable consumer health data law provides additional rights, including Washington's My Health My Data Act, you may have the right to:
confirm whether WaitStop is collecting, sharing, or selling consumer health data concerning you and access that data;
request a list of third parties and affiliates, if any, with whom applicable consumer health data has been shared or sold, together with available contact information;
withdraw consent to the collection or sharing of consumer health data where consent is the applicable legal basis; and
request deletion of consumer health data concerning you, subject to applicable law.
You do not need to create a new account to exercise these rights. If you already have an account, WaitStop may use that account or request additional information reasonably necessary to authenticate the request. Where Washington law applies, WaitStop will respond without undue delay and generally within 45 days, subject to any extension permitted by law. Qualifying requests are provided free of charge as required by law.
If WaitStop denies a request that applicable law gives you a right to appeal, you may appeal by emailing privacy@waitstop.app with the subject line "Privacy Appeal." WaitStop will respond to the appeal within the period required by applicable law and will provide information about any further complaint mechanism where required.
Withdrawing consent to processing that is necessary to provide a feature you requested may mean that WaitStop can no longer provide that feature or may require closure of the account. WaitStop does not discriminate against users for exercising privacy rights protected by applicable law.
California Privacy Rights
If and to the extent the California Consumer Privacy Act, as amended (“CCPA”), applies to WaitStop, California residents may have the right to request information about the personal information WaitStop collects, uses, and discloses; request access to or correction of personal information; request deletion of personal information, subject to applicable exceptions; and exercise other rights provided by California law without unlawful discrimination.
WaitStop does not sell personal information and does not share personal information for cross-context behavioral advertising. If WaitStop becomes subject to additional California privacy requirements or materially changes these practices, this Privacy Policy will be updated accordingly.
California residents may submit an applicable privacy request using the contact information in Section 13.
WaitStop uses administrative, technical, and organizational safeguards designed to protect personal information appropriate to the nature of the information processed. Access to journal content and consumer health data is restricted to authorized personnel and service providers with a legitimate need for access to provide, operate, secure, troubleshoot, or administer the Services. Access is limited to the information reasonably necessary for those purposes.
No method of transmission or storage is completely secure, and WaitStop cannot guarantee absolute security. If a security incident requires notice to you or a regulator, WaitStop will provide notice as required by applicable law.
WaitStop is intended only for individuals who are at least 18 years old. WaitStop does not knowingly permit accounts for persons under 18. If you believe that a person under 18 has created an account or provided personal information through the Services, please contact privacy@waitstop.app. WaitStop will take reasonable steps to investigate the report and, where appropriate, suspend or delete the account and associated information consistent with applicable law.
WaitStop may update this Privacy Policy from time to time. Each revised version will state its Effective Date. If a change is material, WaitStop will provide notice through the Application, by email, or by another reasonable method as appropriate. If applicable law requires affirmative consent before WaitStop collects, uses, or discloses a new category of consumer health data or uses existing consumer health data for a materially different purpose, WaitStop will obtain that consent before beginning the new practice.
